The purpose of this article is to give information about the features located in the Payments area of Season Management. There are three areas in the payments screen that we'll take a look at here.
Group Information
After navigating to the Season Management tab, then to the Payments Menu, click on the payment group that you are looking for. Every class will generate a payment group each night they race.
A) Date. This will by default show the date that the payment group was created, not the date the event took place. This date is editable if needed.
Note: If payments were calculated after the new year for 1099 purposes, this can be used to get those payments in the correct year.
B) Name. This should reflect the name of the class.
C) Description. By Default, this will show the event date and track information
Payee List
A) Payee. This column will show you all of the payees listed for that class on that night of racing. Notice that if the driver has a car owner listed, and the option to pay owner is selected in the entry list, the payee will be the owner. The driver will be noted below the owner name.
B) Make note of the address being on file or not. If you can gather addresses in registration this will help come year end 1099 time or if you mail checks.
C) By default, the payment type will always say check, but you can change that to cash, direct deposit, or any other payment type you might need.
D) The amount owed will come from what was put in the points/pay tab of season management, but you can change the pay amount here if needed.
Button Options
A) You can use this button to print checks directly from MyRacePass. In this view you can input the check layout, the starting check number, and de-select any driver from the list. Find more information here.
B) The print option will allow for two things to be printed. First, mailing labels for any driver who has an address on file. This is especially helpful if you mail out checks after race night. The second option is a report that makes it easy for drivers to sign for their check at the payout window after the race night.
C) In order to export the information to QuickBooks, you'll need a bank account and expense account set up in QuickBooks. This will export the data into a special file type that can only be used in QuickBooks desktop. Use this link to see more on QuickBooks exports
D) The Race Management button will take you directly to the points/pay tab of the event.
